The privacy policy sets out how we use and protect any information that you give us when you use this website and our services.

We are committed to ensuring that your privacy is protected.  Should we ask you to provide certain information by which you can be identified when using this website, or our services, then you can he reassured that it will only be used in accordance with this privacy policy.

If there is contact between you and us, for instance if you hold a funeral plan with us, if you have applied for a funeral plan with us, or if you have enquired about purchasing one of our funeral plans, you will have provided us with personal information in relation to your plan.  It will be necessary for us to use and process that personal information for the purposes of performing the contract between us, or in order to take steps at your request prior to entering into a contract.  Where we have entered into a contract with you, the term of the contract will override the terms of this policy.

 

Your Funeral Plan

 

If you would like to purchase one of our funeral plans, you will be asked to complete a plan request form.

We will collect and hold the information that you, or any beneficiary of a funeral plan, provide to us in this form, and other information that you, or any beneficiary of a funeral plan (or your or the Beneficiary’s estate), may provide to us in connection with the setting up and administering of your funeral plan, and any contact we have with you.  This information may include, amongst other things, your name, address, email address, other contact information, payment details, your job title, and your funeral preferences including your choice of funeral director.

 

How we use your personal information

 

We will only use and process the personal information referred to above, that you or the other third parties described above have provided to us, for the purposes of performing any contract between you and us relating to our services, or in order to take steps at your request prior to entering into a contract. This is the legal basis on which we process the personal information referred to above. Specifically, we will use this personal information in the following ways:

  • to process your request for a funeral plan;
  • to process any payments connected with your funeral plan;
  • where necessary during the life of your funeral plan, for our internal administration;
  • to administer benefits associated with your funeral plan, including providing the personal information to the Plan With grace Funeral Payment Trust, the funeral director that you have chosen and where necessary other third party providers who we or the funeral director may procure, and whose details we have provided to you; and
  • for anonymous statistical analysis.

We may also use the information to understand your needs and provide you with a better service.

If you have consented for us to do so, we may also use this information, and may request other information from you, so that we can improve our products and services, and customise the website according to your interests.

 

Transferring your personal information to third parties

 

We may pass your personal information to third parties.  Where necessary we will share the personal information provided to us together with details of your funeral plan to the third parties referred to above.  We will only provide your information to third parties where we are satisfied that

  • we have a contract in place with that third party, and the third party will only process the personal information in accordance with our instructions and all relevant data protection laws; and
  • the security measures applied by the third party are appropriate to protect the personal information against accidental or unlawful destruction or accidental loss, alteration, unauthorised disclosure or access.

We may share your information with, and obtain information about you from credit reference agencies, fraud prevention agencies, or selected funeral directors that we work with.  We will only do so where it is necessary for the purposes of effectively performing or entering into our contract with you.

We only give your personal information to third parties other than those referred to above where the law requires us to do so.  Where this is the case, to the extent that we are permitted to do so by the law, we will let you know.

 

Retention of your information

 

We will not hold your personal information forever.  Unless you request otherwise, we will only hold your personal information for as long as is necessary for the performance of the contract between you and us.  This means that the personal information will be destroyed or erased from our systems when it is no longer required.

 

What to do if your personal information changes

 

We will keep the personal information we store about you accurate and up to date.  Personal information that is inaccurate or out of date will be destroyed. Please notify us if your personal details change or if you become aware of any inaccuracies in the personal information we hold about you.

 

You have legal rights in respect of your personal information

 

We will always keep you informed about the way in which we process your personal information.  You have the right to:

  • request access to any personal information we hold about you.  If you would like a copy of some or all of your personal information, please contact us using the details set out at the end of this privacy policy.
  • ask to have inaccurate personal information held about you amended.
  • request that we delete some or all of your personal information (although this may mean that we are unable to effectively provide you with services).
  • restrict our processing of your personal information in certain circumstances
  • object to the processing of your personal information in certain circumstances

  • object to any decision that significantly affects you being taken solely by a computer or other automated process.

We may also request other information from you, including for marketing purposes.  We will always inform you how we will use and process this information, and will  not do so without your prior consent.  We may also wish to use and process the personal information that you have provided to us in connection with your plan, for the other purposes that are not connected with your plan, but will only do so with your prior consent.  Both if these cases will be covered by this policy.

We may change this policy from time to time by updating this page.  You should check this page from time to time to ensure that you are happy with any changes.  This policy is effective from 16 February 2018.
